Creating a quotation online means finishing the quote in a browser instead of a local Word or Excel file. Quotely is free quotation software by ComTools: templates control layout, formulas control money, PDF and share links control delivery.
It fits export teams, factory sales, contractors, and SMBs who quote every week and should not start from a blank document.
Why not only a spreadsheet
Excel is fine for costing. Client-facing files still break: totals get overwritten, copies fork, attachments fail. An online quotation tool separates data entry from the document you send.
Word is worse for math: change quantity and you must edit the total by hand. A quotation is a price document, not a letter. See the Excel comparison and What is a quotation.
Step 1: Start from an industry template
After signup, open Templates and clone software, construction, marketing, or renovation presets. They already include letterhead, parties, line tables, and a summary row.
Put company name, bank details, and default warranty in the template so every quote inherits them.
Step 2: Bind qty and price with formulas
In the builder, set line total to qty × unit price, then add discount and tax on the summary. When quoting, only enter business numbers—never type the grand total.
That is the main difference from Excel: formulas live on fields, not on a cell someone can delete.
Step 3: Fill this job and check the total
Create a quote from the template, pick a customer, enter lines. There should be one grand total. State whether prices include tax in the header or notes.
Step 4: Send PDF or a share link
For the official quote, send PDF or a read-only link. Add an access code if needed and watch whether the client opened it. Do not treat an editable xlsx as the formal quote.

Pre-send checklist
Buyer name is correct. Prices state tax. One grand total matches the lines. Validity is a calendar date. Terms are visible. The client can download PDF.
