A quotation PDF is the usual outbound format: fixed layout, hard to overwrite cells, easy to print and forward. Quotely exports from the saved template; amounts come from formulas.
Do not design in Word and “Save as PDF.” Change a quantity and the total often breaks. Let software generate the PDF from the template.
Three checks before export
Layout: letterhead, columns, and footer terms live in the template, including page size and currency.
Money: line and summary totals must be formulas. Change qty once and confirm the grand total moves.
Identity: buyer name, quote number, and validity must be complete or finance cannot file the PDF.
Two ways to send it
PDF only: one-shot quotes when the buyer asked for an attachment.
Link plus PDF: negotiate on the link, freeze a PDF at the end. Clients can also download from the share page.
Common issues
If the PDF total disagrees with the screen, you almost always typed the grand total by hand. Put the formula back and export again.
For wet-ink or e-sign, export PDF first. Quotely produces the quotation file; it does not replace contracts or invoices.
